Events & Marketing Manager

WHO WE’RE LOOKING FOR:

The Event and Marketing Manager’s primary role is to manage the implementation and execution of the company’s event, local partnership and community strategy. The E&M Manager is the face of our community. They are storytellers, key influencers, and connectors who maintain an active presence at Las Rocas. They are our frontline brand ambassadors, working, living, playing and breathing the LR brand and lifestyle. They are excellent written and verbal communicators, extroverted personalities (able to hold a conversation with anybody), and visionaries who can connect the dots to make collaborations. They are excellent self-managers who can coordinate many moving pieces and start new initiatives. The E&M Manager oversees the diverse portfolio of events at our facility and strategizes to increase first-time visitors and returning members to Las Rocas.

YOU WILL:

Storytelling: Content Capture + Newsletters

  • ● Communicate ongoing, inspiring initiatives, incredible people, and more. Tell a good story on our blog and newsletter written in the editorial LR voice, updating our community on what’s happening and what is coming up at our facility. Coordinate with other LR staff to ensure their upcoming initiatives, workshops, classes and events are included in the newsletter. Always consider required time to market these products and initiatives and submit newsletter content in alignment with project timelines. Coordinate with our social media team to capture content and ensure stories are worked into the newsletter.
  • ● Product Awareness: Ensure all members, guests and leads are aware of our product offerings and increasing engagement with our products, using strategic tactical plans with a Call to Action.
  • ● Execute and coordinate local event marketing: Source and distribute physical collateral; ensure in-facility signage is presented as directed by creative and marketing support teams. Las Rocas will live and die by how activated the space is. Whether
    it’s a 5-person climbing clinic, a 100-person concert, or a 30-person run club, you will coordinate with local leaders, staff, and gym members to find the right time, space, and administrative support to execute dynamic events that foster education, celebration, and human connection.
  • ● Social Media Updates: Ensure social media is updated with photos, live video, event and activation info to maintain and build community engagement while increasing brand exposure. Update content to properly promote event including posts, event creation, and proposed ad buys.
  • ● Internal Storytelling: Keeping our team informed as to what’s coming up, communicating internal changes and initiatives.

Awareness + Brand Cohesion

  • ● Branding: Ensure all marketing and event initiatives at a local level support our Brand Platform and Brand Standards, also adhering to our Event Strategy.
  • ● Team Culture: Uphold our culture by championing our Brand in the everyday with authenticity and patience.
  • ● Events Strategy: Coordinate and lead our local events strategy as per the Marketing and Annual Calendar, inputting design requests to Marketing Support Team.
  • ● Visuals: Maintain marketing visuals and in-facility marketing collateral. Ensure out of date or old collateral is removed in a timely manner.
  • ● Press: Coordinate with Support Team, supporting PR, film shoots and other third-party press or film initiatives.

Partnerships

  • ● Relationships: Research, identify, build and maintain relationships with local talent, partners, vendors, artists, etc.
  • ● Street Team Support: Provide required marketing tools, support strategy, and coordinate with General Manager and local team.
  • ● Maintain Black Book: Contacts of partners, vendors and freelancers with whom we collaborate.
  • ● Identify Influencers: Develop relationships with local influencers,
    collaborating with Support Team.
  • ● You have the capabilities and autonomy for in-kind partner offer/exposure transactions.


Events + Outreach

  • ● Cohorts: Foster relationships with cohorts and third-party groups
  • ● Clubs: Manage the ongoing development, management, and execution of events for Las Rocas Clubs in co-creation with the local team. Las Rocas Clubs are member-created, member-lead, and member-driven interest groups supported by Las Rocas. Identify proactive members with creative ideas and help make their vision into a reality. Examples of Clubs include: Run Club, Skate Club, etc.
  • ● Oversee and manage event revenue and profitability.

Private Events + Group Bookings

  • ● Increase conversion rate and revenue for private events products.
  • ● Create annual budget considering historical data and local, facility-specific operational insights and market trends.
  • ● Co-create with the GM on corporate outreach strategy and Youth Program Coordinator on birthday parties.
  • ● Respond to inbound private event requests within 24 business hours.
  • ● Close private event sales, generate contracts, and communicate
    event details in a timely manner to facilitate staffing, facility closure
    notifications, etc.

Coordinate Private Events Execution

  • ● Communicate staffing needs to local facility management in a timely
    manner to ensure proper personnel coverage.
  • ● Liaise with clients to facilitate catering through preferred vendors, book rooms, select packages, and build out any programming or other event elements including A/V, etc.
  • ● Roll-out: Generate, distribute, and communicate event details with the
    General Manager including pre-event overview, one-pagers, etc.
  • ● Lead Generation: Identify leads and close on space rentals and private events.
  • ● Events Calendar: Create local monthly event calendar based on national and local marketing and event strategy.

    YOU HAVE:
    ● 2-3 years of proven experience in Events, Partnerships and/or Production
    ● Bachelor’s Degree required
    ● Understanding of basic business practices: Budgets, ROI, Revenue, Tracking +
    Reporting
    ● Excellent attention to detail
    ● Ability to manage multiple projects in a fast-paced environment
    ● Proven ability to meet, collaborate, and connect with others creatively
    ● Ability to work well independently, take risks, and think big
    ● Experience with Canva and marketing softwares (Mailchimp, Hubspot) a plus
    ● Experience with content production (photo, video, content) a plus
    ● Passionate about the outdoors, lifestyle brands, arts, and music. Climbing
    experience is a bonus!

Head Route Setter

WHO WE’RE LOOKING FOR:
A creative person, excited by the prospect of providing amazing experiences to our community. Driven by their passion to make it beautiful and to consistently improve their craft. Someone who thrives in a team-oriented environment and has a can-do attitude. The role of the Head Route Setter is to create and maintain an engaging and inspiring climbing experience for our community. This includes setting routes, maintaining them, general upkeep of all climbing related terrain and equipment, as well as community engagement and validation. The Head Route Setter is held to a high standard of creativity and quality and is expected to work within a team of setters to provide an unparalleled climbing experience that is in line with LR’s mission and Core Values.

● Arrive on time and get to work in a timely manner
● Take initiative during “down-time” to organize, clean & maintain climbing terrain and equipment, staying focused on ensuring the best possible experience for our community
● Support engagement and interaction between the setting team and community members
● Lead Route Setting Workshops as scheduled
● Ensure general maintenance of walls, including:
o Ensure all loose holds are tightened and repaired within 24 business hours
of discovery
o Ensure all required holds are set screwed
o Ensure all routes and problems are set in a functional manner that is clear
to climbers
o Ensure all the wall surfaces are thoroughly cleaned prior to setting
● Keep abreast of industry developments and the latest events and offerings
● Experiment with different setting styles, innovating and co-creating with the rest of the team
● Take the lead in generating and co-creating new ideas to support innovation, with co-creation and support from your Route Setting team
● Help empower your peers by identifying strengths and encouraging professional development

Youth Programs Coordinator

WHO WE’RE LOOKING FOR:
The Youth Programs Coordinator (YPC) is the ambassador and the primary contact for all Youth Programs. As such, the YPC is the facilitator of the well-being of our local youth community through the medium of experiential education and interaction with Las Rocas and its programming. They are responsible for executing the brand vision through and as a part of the Las Rocas team.

YOU WILL:

Work closely with the General Manager and be managed and mentored towards accomplishing the following:

● Maintaining a presence that attracts and retains new and returning members and guests, ensuring professional conduct for any employee on and off Las Rocas premises.

● Acting as a positive role model for youth staff and youth climbers/parents at all times, on and off the clock, inside and outside of the facility.

● Interacting with communities, partnerships, and any organization (in any method) that engages youth and the facility.

● Facilitating a unique climbing and community experience for both children and parents.

● Owning responsibility for Youth Programs operations and scheduling.

IN ADDITION, YOU WILL:

● Support the General Manager with the creation and execution of Youth Programs and staff training.

● Uphold 24-business hour phone and email response time for all youth programming inquiries, ensuring that any inquiries are responded to in a timely fashion.

● Provide concierge service to all youth users, facilitating bookings and movement through the guest pathway.

● Personally connect with every first-time visitor to a youth program to gain feedback from their experience and recommend appropriate follow-up programming.

● Correct any deviations in bookings for the coming week (unpaid sign-ups, overfilled classes, etc.) and ensure appropriate youth staff is in place for each weekend.

● Take ownership of all Youth Programs areas to ensure organization and cleanliness, including Youth Programs storage area and party room.

● Maintain quarterly inventory of all youth collateral and supplies, and submit requests for re-orders to the General Manager as needed.

● Complete weekly attendance reporting and compilation of new youth community emails as directed by the General Manager.

● Create flowcharts and attendance sheets for Youth Programs. 

● Co-create with the General Manager to create engaging, unique newsletter content on a weekly basis.

● Manage birthday party bookings, CX, and retention strategies as directed by the General Manager.

● Co-create with the General Manager and facility management teams on special projects and initiatives as needed.

● Proactively make suggestions to the General Manager on potential improvements to Youth Programs.

● Strive to exceed success metrics as defined by the General Manager, to be assessed on a quarterly basis.

SUPPORT STRUCTURE FOR YOUTH PROGRAMS COORDINATOR:

● Youth Department Standard Operating Procedures

● Training/Onboarding support of youth employees from the General Manager

● All other duties as required

Front Desk Staff

WHO WE’RE LOOKING FOR:
The Front Desk Staff is a dynamic entry level position in an exciting work environment. You will be exposed to innovative business, hospitality and sales concepts foundational to any successful career. Expect an action-packed steppingstone for career progression at Las Rocas. Being on the front lines at Las Rocas and interacting with thousands of guests and members is not easy but extremely rewarding. The Front Desk Staff isn’t your typical hospitality or sales position, because they sell experiences, deliver instruction and develop meaningful relationships.

RESPONSIBILITIES:

● Achieve personal and team based daily and monthly sales/experience goals

● Greet members and guests upon arrival and departure, presenting value-matched products/services

● Deliver phenomenal guest experiences from check-in to check-out including the sales of classes, delivery of class curriculums, and mentorship/sales of next steps on the instructional pathway

● Stay up to date on all gear, technical skills and techniques and curriculum guidelines

● Teach engaging and high-quality classes that offer a varied and knowledgeable education in the sport of climbing and the Las Rocas community

● Develop and maintain knowledge of every experience, event, access item, membership and retail offering, including process to sell in Capitan

● Apply facility operational knowledge required to maintain the facility, manage retail, run events/programming, distribute gear and other operational duties

IN-FACILITY, YOU WILL:
● Manage your class experience from check-in to check-out

● Manage teaching areas maintaining their presentation to students in accordance with standards

● Engage participants in the class curriculum and use world class teaching tactics to convey information in an experiential way

● Be an active climber and exhibit personal climbing shoes, harness and chalk bag

● Project a positive, constructive attitude, embracing change and presenting solutions to pain points that will enable the success of your team or deliver increased community value.

● Be a team player that advocates for the success of every team member and the achievement of their sales goals

● Greet guests and members, value match experiences, prepare climbing gear and other front desk operational duties

● Execute Facility Orientations for new guests to introduce Las Rocas, qualify guests, and recommend the appropriate value-matching offering

● Manage risk in the facility including risk mitigation, deescalating risky situations and performing belay certifications

● Organize and support events for members, crews and other community happenings

● Manage guest and member data in Capitan and in CRM systems as required

OFF-SITE, YOU WILL:

● Represent Las Rocas at lead generating events

● Identify and cultivate leads and relationships with corporate partners

● Be an ambassador for the Las Rocas brand and the sport of climbing, acting as a connector and mentor to our community

YOU HAVE:

● Excellent written and verbal communication skills

● Experience giving product presentations and other basic sales skills, including identifying and overcoming simple objections

● 1+ years’ experience in sales with a proven track record of meeting or exceeding sales goals

● Experience using Capitan (or another POS system) and/or CRM software for account management

● Knowledge and experience in the rock climbing and fitness or entertainment industries

● The ability to climb V3 consistently

● Interest in learning or developing rock climbing skills, experiencing what Las Rocas offers, and a passion for sharing Las Rocas’ experiences with others
